For IT, information management and finance teams
Nature management alongside your ERP
Financial records and a land manager’s map answer different questions. Explore Baan as an operational GIS layer alongside your ERP, using land, management measures and work orders as the starting point for a discussion about information exchange.
Discuss your information requirementsStart with the management workflow
A parcel, a management measure and a work order provide context for field operations. Which location is involved? Why is the work needed? Who will carry it out? Explore these relationships in the Baan product screens.
Clear responsibilities connect land management and administration. Operational information starts with the location and the work required. The general ledger, purchasing processes and invoice checks have their own records and owners. Agree which information both teams need and who maintains it.
Agree data ownership and identifiers
Start an integration assessment with a master data inventory. For areas, work orders and business contacts, identify the source system, accountable owner and record IDs. Agree how external references relate to internal records and how changes should be reviewed.
Discuss cost centres, projects, financial years and organisational boundaries as well. Can one area span several cost centres? Which contact details does a work order require? Information that can technically be exchanged may still carry different meanings in the receiving system without these agreements.
Integrations discussed on request
We explore integrations with Exact, Unit4, Business Central, Dynamics 365 ERP and Kadaster on request. For each integration, we discuss the data, technology, access and configuration required. Scope and availability are agreed in advance.
Define the question through the required fields, transfer direction, frequency and responsibilities. Include authentication, roles, hosting, error handling and ongoing ownership. Take one work order as an example: which information should reach the financial system, and which response does the land manager need? Involve the people responsible for both systems.
Assess one clearly bounded data flow
For example, choose the relationship between a planned measure, a work order and a cost centre. Establish the required information, the authoritative system and how discrepancies should be identified. Consider broader exchange only after reviewing that scope.
For financial context, first align the terminology used in nature management budgeting. A standard cost estimate, a subsidy and booked actual costs are different records and should remain distinguishable throughout the discussion.
